What a valid GST invoice (tax invoice) needs in NZ
New Zealand has specific rules about what a tax invoice — now officially called taxable supply information — must show. Getting this right matters, because your customers need correct information to claim GST, and you need accurate records if the tax department ever asks.
Here is the general picture for a standard GST invoice in New Zealand:
The GST basics every NZ business should know
GST in New Zealand is 15%. It applies to most goods and services. If you are GST-registered, you charge it; if you are not, you do not.
You must register for GST once your turnover exceeds NZ$60,000 in any 12-month period (or you expect it to). Below that threshold, registration is optional. Once registered, you add 15% GST to your prices and file regular GST returns.
A tax invoice should show your GST number and the GST amount — or clearly state that the price is GST inclusive. For larger supplies you also need to include the buyer's details. Showing the GST component clearly is what lets a GST-registered customer claim it back.
Keep your records for 7 years. Copies of the invoices you issue and receive are part of the business records the tax department expects you to retain.

How to create a GST invoice in NZ (step by step)
Whether you use my tool or build your own, a correct, professional NZ invoice follows the same structure. Here is the order I use:
1. Add your business details. Your trading name, contact details, and — if you are GST-registered — your GST number. This is the single most-forgotten field, and it is the one that lets your client claim the GST.
2. Label it clearly. Title the document "Tax Invoice" if you are charging GST. This signals it is taxable supply information, not just a quote or a receipt.
3. Give it a unique invoice number and date. Sequential numbers (INV-0001, INV-0002) keep your records clean and make reconciliation painless at tax time.
4. Add the customer's details. Their name and, for larger supplies, their address or other identifying details. When in doubt, include them — it future-proofs the invoice.
5. List the goods or services. A clear line-item description, quantity, and unit price for each thing you are charging for. Vague invoices get queried and paid late.
6. Show the GST. Display the GST-exclusive subtotal, the 15% GST amount as its own line, and the GST-inclusive total. Alternatively, state that the total is "GST inclusive" — but breaking it out is cleaner and more professional.
7. Add payment terms and bank details. Your due date (e.g. "Payment due within 7 days") and the account number you want the money paid into. No payment details means no payment.
8. Save it as a PDF and send it. A PDF looks professional, cannot be accidentally edited by the recipient, and is easy to file for your 7-year records.

Common GST invoicing mistakes Kiwi businesses make
After reviewing a lot of small-business paperwork, the same handful of errors come up again and again:
Leaving the GST number off. If you are registered and you forget your GST number, your client cannot claim the GST — and they will come back to you to reissue it.
Charging GST when you are not registered. If your turnover is under $60,000 and you have not registered, you should not be adding 15% GST. Doing so is a problem waiting to happen.
Inconsistent or duplicate invoice numbers. This wrecks your bookkeeping and makes the 7-year record-keeping requirement painful. Keep them sequential and unique.
Not keeping copies. Issuing the invoice is half the job. Saving a PDF copy for your records is the other half. Keep them for 7 years.
